1. Who We Are

PrecisionLedge ("PrecisionLedge," "we," "us," or "our") is a bookkeeping organization service for small businesses. We help clients organize monthly financial records using AI-assisted transaction extraction and human-reviewed reports. We are not a licensed CPA firm, accounting firm, or financial advisory service.

2. What Data We Collect

2.1 Demo Requests (Public Website)

When you submit a demo request on our website, we collect:

• First and last name
• Business name and type
• Email address
• Phone number (optional)
• Any notes you include in the request form

This information is used only to contact you about scheduling an onboarding call and setting up your account. It is not used for marketing to third parties.

2.2 Client Account Information

When we create a client account, we store:

• Business name, industry type, and plan tier
• Primary contact name and email address
• Account credentials (username; passwords are stored using one-way hashing in production — never in plaintext)
• Account creation date and status

2.3 Uploaded Financial Documents

Clients upload financial documents for processing, which may include:

• Bank statements (PDF, CSV, or image)
• Credit card statements
• Receipt photos or scans
• Invoice files

These files are stored in access-controlled private storage. They are not publicly accessible and are only available to your assigned PrecisionLedge reviewer and, when applicable, automated extraction processes.

2.4 Transaction and Report Data

As part of delivering the service, we create and store:

• Individual transaction records extracted from your documents (date, vendor, amount, category, confidence score, status)
• Reviewer notes added during the review process
• Monthly P&L reports and category breakdowns
• Report delivery timestamps and completion status

2.5 Usage and Log Data

We may collect basic usage information including login timestamps, IP addresses associated with login events, and actions taken within the admin portal (such as category changes and report approvals). This data is used for security and audit purposes only.

3. How We Use Your Data

We use the information we collect exclusively to:

• Deliver the bookkeeping service you have subscribed to
• Extract and categorize transactions from your uploaded documents
• Generate monthly financial summaries and P&L reports
• Communicate with you about your account, reports, and billing
• Respond to support requests
• Detect and prevent fraud, abuse, or unauthorized access
• Maintain audit logs for accountability and error resolution

We do not use your data to:

• Train AI or machine learning models
• Sell, rent, or share your information with advertisers
• Build profiles for marketing purposes
• Share your financial information with any third party not directly involved in delivering your service

4. Who Can Access Your Data

PrecisionLedge reviewers have access to your uploaded documents and transaction data for the sole purpose of reviewing and approving your monthly report. Access is limited to staff directly assigned to your account.

You can access your own transaction data and reports through the client portal at any time while your account is active.

Third-party service providers we use to operate the service — such as our database host, file storage provider, and email delivery service — may process your data as part of providing those infrastructure services. We ensure these providers maintain appropriate security standards. We do not sell your data to any third party.

Law enforcement may require us to disclose information if we receive a valid legal order or subpoena. We will notify you of such requests where permitted by law.

5. Data Retention

We retain your data for as long as your account is active, plus a reasonable period after account closure to allow for dispute resolution and legal compliance.

• Uploaded financial documents: Retained for 12 months from the upload date, then deleted unless you request earlier removal.
• Transaction records and reports: Retained for the duration of your account plus 90 days after cancellation.
• Account information: Retained until you request account deletion or 90 days after your final billing period ends.
• Demo request data: Retained for 6 months if no account is created. Deleted upon request.
• Audit logs: Retained for 12 months for security and compliance purposes.

6. Requesting Data Deletion

You may request deletion of your personal data and associated financial records at any time by emailing support@precisionledge.com. Please include:

• Your full name and business name
• The email address associated with your account
• A description of what you would like deleted

We will process deletion requests within 30 days. Note that we may be required to retain certain records for legal or accounting compliance purposes, in which case we will inform you of what can and cannot be deleted.

7. Security

We implement the following measures to protect your data:

• All data is transmitted over HTTPS (TLS encryption)
• Financial documents are stored in private, access-controlled storage — never publicly accessible
• Account passwords are stored using industry-standard one-way hashing (never in plaintext)
• Access to client data is restricted by role-based permissions
• Login events and administrative actions are logged for audit purposes

No security system is perfect. In the event of a data breach that affects your personal information, we will notify you promptly in accordance with applicable law.

8. Cookies and Tracking

Our public website may use basic analytics tools (such as Google Analytics or Plausible) to understand site traffic. These tools may set cookies. We do not use tracking cookies for advertising purposes.

The client and admin portals use session cookies only to maintain your login state. These expire when you log out or after a period of inactivity.

9. Not a CPA Firm — Important Disclaimer

All reports are reviewed by our team before delivery, but accuracy depends on the completeness and accuracy of the documents you provide. PrecisionLedge is not responsible for errors resulting from incomplete, inaccurate, or fraudulent source documents.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify active clients by email and update the "Last updated" date at the top of this page. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
